Headers, Footers & Automated Page Numbers
Headers and footers run consistently across the top and bottom margins of your pages. They contain essential metadata: document titles, company names, revision dates, chapter names, and automated page numbers.
Activating the Header & Footer
- Fastest Method: Double-click inside the top or bottom 1-inch blank margin of any page.
- Ribbon Method: Go to Insert tab > click Header, Footer, or Page Number.
- Exit Header & Footer: Double-click back into the document body, or click the red Close Header and Footer button on the Ribbon (or press
Esc).
Inserting Automated Page Numbers
Never type page numbers manually! If you manually type "1", every page will display "1"! Instead, use Word's dynamic fields:
- 1Go to Insert > Page Number (or click inside footer > Header & Footer tab > Page Number).
- 2Choose position:
- Bottom of Page: Center, Right, or Left.
- Page X of Y (Bold Numbers): Displays "Page 3 of 42", giving readers context of document length.
- 1Format Page Numbers:
- Change number formats to Roman numerals (
i, ii, iii) or Alphabetic letters (a, b, c). - Choose Start at: e.g., start numbering from 0 or 1.
Essential Header & Footer Options
When inside the Header/Footer area, the Header & Footer contextual tab opens:
- 1Different First Page:
- Checks this box to completely clear the header and footer on Page 1!
- Vital for cover pages, title sheets, and formal reports where you do not want page numbers or logos displayed on the front cover.
- 1Different Odd & Even Pages:
- Enables mirror headers for bound books (e.g., Book Title on left-hand even pages, Chapter Title on right-hand odd pages).
- 1Link to Previous:
- When documents are divided into sections, this button controls whether Section 2 inherits Section 1's header.
- Unlinking allows you to have Roman numerals (
i, ii, iii) in Section 1 (Table of Contents) and Arabic numbers (1, 2, 3) starting fresh in Section 2!
