Columns & Breaks: Structuring Complex Layouts

Newspapers, magazines, newsletters, and academic research papers format text into multiple parallel vertical columns. To control how text flows across columns and pages, Word provides Breaks.

1. Multi-Column Formatting

Navigate to Layout tab > Columns:

  • One: Standard single-column paragraph flow.
  • Two / Three: Divides text into equal vertical columns.
  • Left / Right: Unequal asymmetric split (one narrow sidebar column and one wide main column).
  • More Columns...: Configure exact column widths, customize the spacing (gutter) between columns, and check Line between to draw a clean vertical rule between columns!

2. The Difference Between Breaks

Word categorizes breaks into two distinct families: Page Breaks and Section Breaks.

Page Breaks (Ctrl + Enter)

  • Page Break (Ctrl + Enter): Forces text following the cursor immediately onto the top of the next page. Never hit Enter repeatedly to start a new page!
  • Column Break (Ctrl + Shift + Enter): In a multi-column document, forces following text to start at the top of the next column immediately.
  • Text Wrapping Break: Breaks line beneath an image.

Section Breaks: The Secret to Professional Publishing

A Page Break only moves text to a new sheet; all pages continue sharing the same margins, headers, footers, and orientation. Section Breaks divide your document into distinct independent partitions with their own unique formatting:

  • Next Page Section Break: Starts the new section on the next page. Essential for having Page 1 in Portrait and Page 2 in Landscape!
  • Continuous Section Break: Starts the new section on the same page. Essential when you want a 1-column title banner followed by a 2-column article body on the very same page!

Revealing Hidden Breaks (Ctrl + Shift + 8)

To visually inspect where breaks are located:

  • Go to Home tab > click the paragraph symbol ($\P$) or press Ctrl + Shift + 8 (or Ctrl + *).
  • Word displays dotted lines with labels like :::::: Page Break :::::: and :::::: Section Break (Continuous) ::::::.
