Organizing Slides with Sections & Collapsing Groups
Organizing Slides with Sections & Collapsing Groups
When presentations grow beyond 15–20 slides, navigating a single unorganized list becomes cumbersome. PowerPoint's Sections feature allows you to divide large decks into clean, collapsible chapters that streamline editing, facilitate team collaboration, and power interactive Zoom navigation.
What Are Sections?
Sections act like digital folders within your presentation. They group related slides under a named header without altering how the presentation plays sequentially for your audience:
- Collapsible Navigation: Collapse sections you are not currently editing to keep your workspace uncluttered.
- Bulk Actions: Move, duplicate, hide, or delete an entire group of 10 slides with a single click on the section header.
- Print / Export Targeting: Print only a specific section (e.g., "Appendix" or "Financials") rather than the entire deck.
- Interactive Slide Zooms: Drag a section header onto a summary slide to create an automated visual jump card.
Step-by-Step: Creating and Managing Sections
Adding a New Section
- 1In the left thumbnail pane or in Slide Sorter View, click between the two slides where you want the new section to begin.
- 2Go to Home > Section > Add Section (or right-click between the slides and select Add Section).
- 3A modal dialog appears prompting you to name the section (e.g.,
01 - Executive Summary,02 - Market Analysis,03 - Financials). - 4Type the name and click Rename.
Collapsing and Expanding Sections
- Click the small triangle chevron next to any section title to collapse or expand its slides.
- Right-click any section header and choose Collapse All to view a concise high-level index of your presentation chapters.
- Choose Expand All to restore the full view.
Moving Entire Sections
To reorder an entire chapter:
- 1Collapse the sections so only the section headers are visible.
- 2Click and drag the section header up or down in the left pane or Slide Sorter.
- 3All slides belonging to that section move together in unison.
Removing Sections
Right-click the section name to see options:
- Remove Section: Deletes the section dividing header, but leaves all slides intact within the preceding section.
- Remove Section & Slides: Deletes the section header along with all slides contained inside it.
- Remove All Sections: Clears all section dividing headers throughout the entire presentation in one step.
Combining Sections with Summary Zoom
In Microsoft 365, sections unlock the Summary Zoom capability:
- 1Go to Insert > Zoom > Summary Zoom.
- 2PowerPoint displays a checklist of your existing sections.
- 3Check the sections you want featured on your agenda slide and click Insert.
- 4PowerPoint automatically generates an interactive menu slide with clickable thumbnail cards that zoom smoothly into each section during your live presentation!
Multiple Choice Questions
1. What happens to the slides inside a section if you right-click the section header and choose "Remove Section"?
A. All slides inside the section are permanently deleted B. The section header is removed, but the slides remain in the presentation C. The slides are converted into Word documents D. The slides are hidden automatically Answer: B Explanation: "Remove Section" dissolves only the organizational section divider, keeping all slides safely intact. To delete the slides as well, one must choose "Remove Section & Slides".
2. How can you collapse all sections at once to view a compact outline of your entire presentation deck?
A. Press Ctrl + Z repeatedly B. Right-click any section header and select "Collapse All" C. Close PowerPoint and reopen in safe mode D. Delete Slide 1 Answer: B Explanation: Right-clicking any section title exposes the "Collapse All" command, shrinking every section down to just its header label.
3. Which modern PowerPoint feature uses sections to build an interactive clickable visual agenda slide automatically?
A. Mail Merge B. Summary Zoom C. SmartArt Hierarchy D. Slide Sorter Grid Answer: B Explanation: Insert > Zoom > Summary Zoom utilizes existing sections to generate an interactive landing dashboard with clickable visual zoom tiles.
4. Where on the Ribbon can you find the command to add a new section?
A. View > Gridlines B. Home > Slides group > Section C. Design > Themes D. Draw > Ruler Answer: B Explanation: The Section drop-down menu is located in the Slides group on the Home tab (as well as on the right-click context menu between slides).
5. Why is reordering sections in Slide Sorter View considered a best practice for long presentations?
A. It makes animations play twice as fast B. Moving a single collapsed section header automatically shifts all slides within that entire chapter at once C. It reduces presentation file size to zero D. It prevents other users from editing text Answer: B Explanation: Collapsing sections and dragging their headers allows presenters to reorganize entire multi-slide chapters in seconds without selecting individual slides one by one.
