Adding, Duplicating, Deleting & Reordering Slides

Structuring a presentation deck requires agile slide management. Knowing the most efficient methods to insert, clone, rearrange, and eliminate slides accelerates your authoring process.


Adding New Slides

There are multiple ways to insert a new slide into your deck:

  • Ribbon Button: On the Home or Insert tab, click the top half of the New Slide button to insert a slide with the default layout, or click the bottom half (the arrow) to open the layout picker.
  • Keyboard Shortcut: Press Ctrl + M to immediately insert a new slide matching the current layout.
  • Enter Key Method: Click between any two slide thumbnails in the left pane (a horizontal insertion line will appear) and press Enter.
  • Reusing Slides: Click Home > New Slide > Reuse Slides. A side pane opens allowing you to browse any existing PowerPoint file on your PC or OneDrive. You can preview individual slides and insert them into your current deck with a single click. Enable the checkbox Keep source formatting if you want to preserve the original visual styling.

Duplicating Slides

Duplication is ideal when you have created a complex layout (such as a multi-step timeline or data dashboard) and want to replicate the structure for subsequent points with new content:

  • Keyboard Shortcut: Select the slide thumbnail on the left and press Ctrl + D.
  • Right-Click Method: Right-click the slide thumbnail and select Duplicate Slide.
  • Drag-to-Duplicate: Hold the Ctrl key, click on a slide thumbnail, and drag it down. Release the mouse button to drop an exact duplicate.

Reordering Slides

Slide flow dictates audience comprehension:

  • In Normal View: Click and hold a slide thumbnail in the left pane, drag it up or down to its new position, and release when the horizontal indicator bar reaches the desired target.
  • In Slide Sorter View: Click View > Slide Sorter. The grid display allows you to drag slides across rows and columns quickly.
  • Moving Slide Blocks: Click the first slide, hold Shift, click the last slide in a sequence, and drag the entire block simultaneously.

Deleting and Hiding Slides

  • Deleting: Select one or more slide thumbnails and press Delete or Backspace.
  • Undo Accidental Deletion: Immediately press Ctrl + Z to restore the deleted slide with all content, animations, and transitions intact.
  • Hiding vs. Deleting: If you want to keep supplementary backup data slides (e.g., detailed financial calculations for Q&A) without showing them during your main pitch, right-click the thumbnail and choose Hide Slide. The slide stays safely in your deck but will not appear during the presentation.
