Advanced Track Changes & Comments

Multi-Author Collaboration: Advanced Tracking

When contracts, technical manuals, or corporate policies undergo review by multiple stakeholders (e.g. Legal Counsel, Finance Manager, and Lead Architect), managing who changed what and preventing unauthorized tracking overrides requires advanced features.

Advanced Track Changes and Reviewer Filtering in Word

1. Filtering Revisions by Specific Reviewer

When 4 different people have edited a 100-page document:

  1. 1
Go to Review tab > Tracking group.
  2. 2
Click Show Markup > hover over Specific People.
  3. 3
Word displays a checklist of all contributing editors.
  4. 4
Uncheck "All Reviewers" and check only "Legal Counsel":
  • The canvas instantly hides all other editors' markup, allowing you to focus solely on legal revisions!
  • You can review, accept, or reject legal amendments in isolation without touching engineering or finance comments.

2. Locking Track Changes with a Password

A dangerous risk during formal negotiations is a counterparty secretly turning off Track Changes and inserting unapproved terms into the contract. Lock Tracking eliminates this vulnerability:

  1. 1
On the Review tab, click the downward arrow beneath the Track Changes button.
  2. 2
    Click Lock Tracking.
  3. 3
Enter and confirm a secure password.
  4. 4
    Click OK.
  5. 5
Result: The Track Changes button is now locked in the active ON state and grayed out! Neither you nor any recipient can disable revision tracking or accept changes without entering the master password!

3. Advanced Track Changes Options

Click the Dialog Box Launcher () in the Review > Tracking group:

  • Advanced Options: Customize exact color codings:
  • Set Insertions to Bold Green.
  • Set Deletions to Strikethrough Red.
  • Set Moved Text to Green with double strikethrough.
  • Balloons: Configure whether revisions appear inline or float in the right margin margin pane.
